(a case study in nnpc, enugu)

Abstract

The major purpose of this study was to determine the management constraints of the office equipment and their contribution to the success of a business organization, as well as the problems and modern office equipment. We have been putting forward the argument that for the need of office machines, but it is important that i equally take of the problems associated with secretaries and office equipment and machines in their places of works. The purpose of this study is to identify the contributions of office machines to an organization. The following questions have been asked as a guide to the question of the study. What are the contributions of modern equipment to the organization? Etc. The population of the study consisted of 100 employees of nnpc enugu. The sample size for the study was 50 out of the population of 100 employees found in nnpc enugu. The major findings of the study were (1) the problems they envisage in the cause of using these machines and the prospects associated with the use of modern office equipment. (2) it was found that modern office equipments have impacts on secretaries. It was concluded that the researcher were convinced that the secretarial staff of nnpc enugu, needed some extra training in other to coherent with the manipulation of operations of some of the modern office equipment.

Background

        office machines and equipments being used in business office today have accounted tremendously to the present and provide less fatigue work for secretaries in modern business organization.

        the growth of modern business fiends has made it mandatory that all manner of practitioner in business fields should be well informed on the various aspect of office equipment and machinery that are used in daily performance of office functions. The usage of these machines and equipment must be dependent on, various factors namely:- the type of job, how sophisticated the job requiring the machine is, the amount of capital at the disposal of the organization in the purchase of such equipment, the range of equipment at the disposal of the user etc.

There are now, wide variety of modern office equipment which serves secretaries purpose.

Eze (1983) says that the increasing demand of modern industrial, political and social engineering technology have compounded information, expanded unimaginably the scope and depth of human knowledge and rendered the gathering far beyond traditional human labour and tools. To this end, the introduction of a new technology in the form of modern office equipment precipitates change in the nature of office work.

Ajakemo (1995) sated that the tremendous growth of business coupled with their complexities and ever-keener completion among various business organization among others have increased the need for modern office machines and equipment. Today, increasing technological dependence, high volume, information requirements and the importance and value of the human resource have mounted a lot of pressure on the management of most business organization to look elsewhere for shaper tools which not only relievers man from both physical and mental strain but help to enhance productivity.

As industries are growing every day, manual labour alone can no longer contain the requirements of office work requiring high volume data collection, analysis and communication. Beside, some machines prevent fraud like the cheques writing machines and also help to increase efficiency, accuracy, and appearance of documents such as memo, graphs, letters etc. Hence, no office can exist and function effectively without modern office machines and equipment.

Statement of the problem

        secretaries usually perform a variety of tasks requiring different skills. The need to improve the quality of information has are created wide speed interest at present office technology and hence more sophisticate equipment are being used increasing in office.

        obviously growth in size, complexity of business and ever-keener competition of business organizations are mounting a lot of pressure on the management of these organization to look for shaper tools in physical production and in mental work, such as problem recognition, analysis, memory and communication to achieve understanding. Besides, technological advances in office machines and related equipment to meet administrative needs are now progressing with amazing speed.

        secretaries see increase in information technology as a challenge and also as a threat to their job or profession.

        this problem and anxiety in the minds of office workers, it is likely to lead to a drastic reduction in production in most office.

        finally, this situation calls for serious policies by management deal with the problem, which psychologically destroys the mental and emotional state of workers.

the purpose of this study are:-

  1. To identity the contributions of office machines to an organization.
  2. To identity the problems associated with modern office equipment.
  3. To identity the prospects associated with the use of modern office equipment.
  4. To identity what should be considered before purchasing a new machine.

modern office equipment is the name given to all the newly invented electronic machines that are being introduced in the offices as a result of additional increase in production. Office equipment includes all terms of machines and furniture that facilitate office operations.

Abstract

This study focused on “modern office equipments and their contributions to the success of a business organization (a case study o f nnpc enugu) to achieve this purpose some research questions were raised and a review of related literature was made. The survey research design was adopted in this study. The population of the study includes workers, and management of nnpc enugu depot. A sample of 150 respondents and random sampling technique was used in selecting the workers in a particular unit of the organization. Data for the study were obtained from both the primary and secondary source. Personal interview was also employed to confirm the responses. The data generated from this study were analyzed using simple percentage, table rating scales and mean scores. The major findings showed that the modern office equipment contribute immensely to the success of business organizations like nnpc enugu depot. Based on these findings, the researcher recommended: acquiring of standby generating sets, provision of spare parts and qualified staff to facilitate productivity in the organization.

the use of modern office equipment is inevitable to offices in this modern era- until the 15th century before the advent of typewriters, publication of business documents was a difficult job and bored mostly to secretaries because everything has to be handwritten.

with time and technological growth, business organizations witnessed information overload due to over increasing commercial transactions. Business therefore, needs technology to turn out words effectively, efficiently and continuously.

These days, the world of work is changing fast, as we approach  the new millennium modern equipment are fast replacing manual machines in  the workplace, computer automated machines have gradually taken the work of men. With the level of sophistication and cut throat competition in our society, nobody is resting on their oars in the new technological age.

Before now, most employers of labour needed all kinds of categories of workers. Some were trained on the job, while others came as experts. In the factories, people were employed in their thousands to do all kinds of jobs. Production machines, acquired long age, took time to warm up for use while workers took their turn in churning out the large number of workforce.

Brief history of nigerian national petroleum corporation (nnpc) enugu depot

nnpc (nigerian national petroleum corporation) depot enugu is located at emene `in enugu east local government of enugu state. Commissioned on 25th august, 1979 by the military administration of the then anambra state col. D.s abubakar.

it has a total capacity of 12 million liters of petroleum products. It has only three by products in stock which include premium motor sprit (pms) otherwise called petrol, dual purpose kerosene (dpk) and automobile gas oil (ago) ago or diesel for onward distribution to her customers the oil marketing companies.

enugu depot has a total number of six departments namely: administrative, sales, security, accounts operation and safely departments with a total workforce of 250 workers. Each department is managed by the head of such department who equally reports to the depot manager who is the overall boss.

The survey research design was adopted in this study. The population of the study includes workers, and management of nnpc enugu depot. A sample of 150 respondents and random sampling technique was used in selecting the workers in a particular unit of the organization. Data for the study were obtained from both the primary and secondary source. Personal interview was also employed to confirm the responses. The data generated from this study were analyzed using simple percentage, table rating scales and mean scores. The major findings showed that the modern office equipments contribute immensely to the success of business organizations like nnpc enugu depot. Based on these findings, the researcher recommended: acquiring of standby generating sets, provision of spare parts and qualified staff to facilitate productivity in the organization.

1.1 background of the study

The use of modern office equipment is inevitable to offices in this modern era- until the 15th century. Before the advent of typewriters, publication of business documents was a difficult job and bored mostly to secretaries because everything has to be handwritten.

With time and technological growth, business organizations witnessed information overload due to over increasing commercial transactions. Business therefore, needs technology to turn out words effectively, efficiently and continuously.

These days, the world of work is changing fast, as we approach  the new millennium modern equipment are fast replacing manual machines in  the workplace, computer automated machines have gradually taken the work of men. With the level of sophistication and cut throat competition in our society, nobody is resting on their oars in the new technological age.

Before now, most employers of labour needed all kinds of categories of workers. Some were trained on the job, while others came as experts. In the factories, people were employed in their thousands to do all kinds of jobs. Production machines, acquired long age, took time to warm up for use while workers took their turn in churning out the large number of workforce.

Most management, employers of labour are of the view that the introduction of high technology to the workplace has made the work easier, faster, saves time and cost, especially on overhead, better than employing a multitude with no result.

Again, with the introduction of new technologies, business men have been saved from carrying huge sums of money all over the place, the advent of electronic fund transfer is a pointer to this topic.

The use of internet, e-mail, pagers, digitized telephone services, mobile phones, answering machines have made the job of executive, top managers less cumbersome and communication gap has been bridged with the popularization of these gadgets. Business and transactions can be discussed through these services.

Even in terms of society for the workplace it is common feature in some big organization to mount circuit television, to monitor movement of people. Big time executive also use close circuit television to wade off intruders and those they don’t want to see, with this, productivity is thus enhanced.

 

Brief history of nigerian national petroleum corporation (nnpc) enugu depot

Nnpc (nigerian national petroleum corporation) depot enugu is located at emene in enugu east local government of enugu state. Commissioned on 25th august, 1979 by the military administration of the then anambra state col. D.s abubakar.

It has a total capacity of 12 million liters of petroleum products. It has only three by products in stock which include premium motor sprit (pms) otherwise called petrol, dual purpose kerosene (dpk) and automobile gas oil (ago) ago or diesel for onward distribution to her customers the oil marketing companies.

Enugu depot has a total number of six departments namely: administrative, sales, security, accounts operation and safely departments with a total workforce of 250 workers. Each department is managed by the head of such department who equally reports to the depot manager who is the overall boss.

 

1.2 statement of the problem

In a developing country like nigeria, the use of modern office equipment in the office is still minimal because they lack the technical know how to put the one their disposal to good use. Lack of stilled manpower to update and maintain already acquired machines. Besides, constant power failure from the public electricity supply has not helped matters in any way.

More over, some office worker especially secretaries sees the technological improvement as a challenge and also as threat to their job. These problems and anxiety in the minds of office workers, is likely to lead to a drastic reduction in production in most office.

Finally, this situation calls for serious policies by management dealing with the problem, which psychologically destroys the mental and emotional state of workers.

For every act, there must be a reason and in light of this, the purposes of this study are:

  2. To identify the contributions of modern office equipment on the success of business organization.
  3. To examine the training needed for the operation of these office equipments.
  4. To identify how to maintain them in the office.

Abstract

 

This research work was carried out to investigate into the effect of industrial training scheme on the training of Office Managers.  It was discussed under the following sub headings according to the purpose of the study: Objectives of Industrial Training, benefits derived from Industrial Training, causes and remedies to the poor implementation of Industrial Training programme. It was observed that the management problem of industrial training on the training of Office Managers was on how to achieve the organizational goal, poor visitation of students by supervision staff during training and non payment to students on attachment.  This study helps students to achieve the practical aspect of learning, which enable them to perfect on the theoretical training.  The population of the study was made up of 253 managerial students both Federal Polytechnic Nekede, Federal Polytechnic Oko and Abia State Polytechnic Aba.  Four (4) research questions were formulated which guided the study. Thirty (30) structured questionnaires were used for data collection which was distributed to 165 managerial students from HNDI and HNDII in the selected tertiary institutions.  Also, tables, percentile method were used in analysis of data collected and the statistical tool employed in testing the hypothesis was Chi Square.  The findings reveals that the programme organized by the industrial training fund is relevant to students involved in skilled courses.  It was recommended that the activities of the establishment in which they had their IT exposure are related to their course of study.  There should be a line between the industries and schools so that the performance reports of the students would be sent to Industrial Training Fund (ITF) office after each industrial training experience for further assessment.


CHAPTER ONE

INTRODUCTION

1.1    Background of the Study

Industrial Training is the training given to the students in tertiary institution in order to know the responsibilities of human resources development and how they will tackle their work/job after their school career.

 

The Industrial Training Funds was set up by (SIWES) Students Industrial Work Experience Scheme programme to help students in tertiary institutions especially those offering practical courses such as Office Technology and Management students, Art and Applied Sciences, Engineering students etc. To achieve their required training skills for their professions.

 

This programme has brought about many positive effects on the students.  As the manager’s job is to provide service to the general public, industrial training helps to expose managers to industrial behaviour in order to improve on practical aspect of their course.  According to Okafor (1993), this type of experience would expose students to the world of work and help them remedy the deficiencies of the classroom in terms of its practical components.

 

Thus, the Industrial Training Fund programs help Office Managers to perfect in their profession.  For instance, some courses in Office Technology and Management line is Office Management System, Office Practice, Principle of Law, Advance Transcription, Information and Communication Technology (ICT), Human Capital Management etc. Are being taught theoretical in school.

 

In Polytechnics, Office Managers due go to four months Industrial Training (IT), in their first year, in second year another one year Industrial Training making them acquire the necessary skills to perfect in their course of study.

 

Students experience during the course of their training will definitely help them to carry out their managerial work effectively provided that the programme of the Industrial Training Fund (ITF) is a continuous process.  The experiences gotten by students is a good tool that responds to a certain basic aspect of the students fullest development in the Office Management and Technology course making them acquire the necessary skills.

 

The most serious problem facing the students before the introduction of the Industrial Training (IT) is unemployment.  Many of them do not possess the relevant and employable skills needed by employers, students are being faced with the problem of acquiring the needed practical knowledge.  Thereby, making the students to imagine everything that are being taught.  But the introduction of this IT programme has helped Office Managers to perform well, especially in getting direct contact with some of the new office gazettes that have been taught theoretically in school.

 

The SIWES objectives is to help students to find solution to the problem of unemployment, to take their steps in the journey through their life career with pleasure, confidence, and to prepare students for the world.

 

Taylor (1983) had concluded that students who have benefited from SIWES opportunities pass on to the next level and are ready to accept any challenges of learning skills in their career.  For this reasons the potential managers that went through the industrial training fund programme benefited from many effects needed for their experiences and exposure.

 

1.2    Statement of the Problem

The management problem of the industrial training is on how to achieve the organization goal.  And the effort of well trained managers as Folayan (1998) stated is a sine quo non for the achievement of the organizational corporate goal.

 

Before the introduction of Industrial Training Scheme, the Office Manager’s attitude and performance in school and outside school was very discouraging.

 

The Federal Military Government introduced this programme (IT) to guide and direct the Office Manager’s learning so that they will carry out their work/job effectively and accurately.

 

Atuenyi (1995), pointed out that “Office Managers need urgent training right from their year one in higher institution in order to meet up with the information technology demand in any organization”.

 

Another problem bordering on this is the problem of how often the supervision staff in Industrial Training Fund (ITF) visits the students on attachment and allowance paid to students on attachment.

 

1.3    Objective of the Study

The objective of the study is to find out the effect of Industrial Training Scheme on the training of Office Managers.

Specifically, the study sought to:

  1. Identify the aims and objectives of the Industrial Training.
  2. Find out the benefits that the entire students derive from Industrial Training (IT) Scheme.
  3. Examine the causes of the poor implementation of the programme.
  4. Examine the remedies to the poor implementation of the programme.

 

1.4    Research Questions

This study sought answers to the following research questions.

  1. What are the aims and objectives of the Industrial Training?
  2. What are the benefits derivable by students from the Industrial Training Scheme?
  3. What are the causes of poor implementation of the programme?
  4. What are the remedies to the poor implementation of the programme?

Office Managers in selected tertiary institution in South-East zone of Nigeria.

 

H1:    Industrial Training Scheme has effect on the training of

Office Managers in selected tertiary institution in South-East zone of Nigeria.

 

1.6    Significance of the Study

The study of the effect of industrial training scheme on the training of managers will help the students to achieve the practical aspect of learning, which will help them to perfect in the theoretical training.

 

The industrial training will help the students to be more committed to the programme instead of relaxing and forge industrial training letters from any company, since they have known the importance of the programme.

 

It helps the SIWES workers to be more committed to their work by making it compulsory for the students to acquire the necessary practical knowledge and experience required from them during the training period.

 

The study in this training will help students to be cost conscious when dealing with customers or when using companies stationeries in their work place.

 

The study will also help to create awareness to the public especially government establishments on the importance of the training so that the industrial workers will be accepted.
